Administrative Coordinator Classification:
Exempt Job Purpose We are looking for a responsible CoC & Administrative Coordinator to perform a variety of administrative, clerical tasks and conduct daily Continuum of Care (CoC) duties.
Duties of the CoC & Administrative Coordinator include providing support to the coalition employees and the CoC assisting in daily office needs and managing VFCCH's general administrative activities.
The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.
Ultimately, a successful CoC and Administrative Coordinator should ensure the efficient and smooth day-to-day operation of our office.
Duties and responsibilities Answer phones, direct inquiries to the appropriate person and take messages.
Schedule staff and/or agency meetings and manage audiovisual requirements.
Organize and schedule appointments for both the Coalition and CoC.
Plan, attend and take detailed minutes of meetings for distribution to the Coalition and CoC Boards.
Write and distribute emails on behalf of the Executive Director and CoC Assist in the preparation of regularly scheduled reports.
Maintain and keep the office database and filing system up to date and organized.
Update and maintain office policies and procedures.
Maintain the office calendar to include names and contact information of CoC stakeholders and members agencies.
Provide general support to visitors, and team members.
Overseeing Coalition and CoC goals Manage the on-boarding functions for new employees.
Maintain both the CoC and Coalition websites Event Planning for both the Coalition and CoC Capacity Building for both the Coalition and CoC Schedules and coordinates on-going file reviews for accuracy and compliance.
Updates forms, documents, SOP, and policy as needed.
Attends CoC meetings and workshops as required.
Social Media and marketing activities Evaluate data analysis collected from database to ensure accuracy.
Assist in monitoring and maintaining the Homeless Management Information System (HMIS) Provide end-to-end technical support and problem resolution support to local Direct Housing Services Providers in accordance with the program requirements.
Develop new strategies and procedures to increase efficiency.
Maintain excellent written and oral communication with members of local direct service providers and management teams.
Recording, collection, compilation, and analysis of data.
Ensure Data Standards compliance with federal, state, and local and guidelines.
Conduct initial and refresher trainings for program staff in database related tasks (e.
g.
, data entry, analysis, and corrective actions.
) Site visits and monitor the activities of the direct homeless service agencies and homeless providers.
Enhance ability of project and program staff in HMIS related tasks by conducting workshops, on-the-job training and through other means upgrade skills of information gathering and analysis.
Manage employee required training schedule for DCF compliance.
Develop, implement, and revise compliance policies and procedures to ensure site staff conform with funding programs.
Assist in performing on-site monitoring and auditing of HUD/ESG programs for Housing First, Homeless status, annual income certifications, accuracy and compliance with rent limits, utility allowance, income limits and occupancy standard based on HUD/ESG or other local funding regulatory and program requirement.

Qualifications A.

Degree (Bachelors level preferred) Knowledge of the role of the Lead Agency and Continuum of Care (preferred) Experience with various forms of office software and equipment.
HMIS experience (preferred) Non-profit grant experience (preferred) Knowledge of office products to publish web content a plus.
Experience with excel a plus Two years' experience in Human Services atmosphere Sitting for extended periods of time Dexterity of hands and fingers to operate a computer keyboard, mouse, and other devices and objects.
Physically able to participate in training sessions, presentations, and meetings.
Travel for the purpose of meetings, training and collaborating with stakeholders.
Criminal Background check:
Able to obtain and maintain successful DCF Level II background check.
